Studio Policy Procedures & Program Guidelines 2021

Health Coaching | Personal Training | Group Fitness | Assessment Information
In accordance with Newbody Training System LLC training policy and rules clients who purchase personal training session(s) will receive one full assessment included with the initial purchase. The full assessment will be conducted prior to the first training session.

Cancellation Policy:
​
Cancellations must be made at least 24 hours in advance to reschedule or receive a full refund. Sessions canceled within 24 hours of the scheduled time are nonrefundable.

Late Arrival Policy:
​
The trainer will wait 15 minutes for the client to arrive for the scheduled appointment. If the client fails to show up, the appointment and fee(s) will be forfeited. If the client arrives late, the session duration will be adjusted accordingly, deducting the missed time.
​
Appointment Confirmation:
​
Both the trainer and client must confirm all personal training sessions at least 24 hours prior to the scheduled appointment. Failure to confirm within this timeframe may result in unavailability for the appointment.
​
Refund Policy:
​
All training sessions or services must be purchased in advance. A $20 service fee will be charged for refunds of remaining sessions. Refund requests require a 48-hour written notice, with refunds issued via mail within 7-10 business days.
​
Expiration Date Policy:
​
All sessions must be used within four (4) months from the purchase date. Any remaining sessions after this period will expire and are nonrefundable.
​
No Show Policy:
​
Clients who fail to cancel within 24 hours and do not show up for the appointment will not receive reimbursement for the missed session.
​
Inclement Weather Policy:
​
In case of inclement weather, the studio will be closed, and makeup sessions will be offered at the trainer's discretion.
​
Attire:
​
Participants must wear appropriate clothing and non-marking athletic shoes suitable for exercise. Offensive or inappropriate attire is not permitted.
​
Client to Trainer Ratio:
​
Training sessions are limited to one client or family training partners to ensure safety and effectiveness.
​
Appointment & Payment Timeline:
​
All payments must be made 24 hours in advance at the studio main office. Services will not be rendered without prior payment. Sessions will be suspended if payment is not received within the designated time.
​
Confidentiality Statement:
​
Personal information obtained during assessments and training sessions will remain confidential and not be shared with third parties without the participant's permission.

Full assessments cover various aspects of physical fitness and are included in Health Coaching or Personal Training Packages. Single assessments are available by appointment.

Initial Consultations:
​
Initial consultations are utilized to customize programs for clients.

Public Relations:
​
All policies and procedures are subject to change on short notice.

Exercise Prescription & Adherence
Exercise prescription refers to a tailored regimen of fitness activities crafted with a specific purpose in mind, often devised by a fitness or rehabilitation specialist for their client or patient.

Adhering diligently to the exercise prescription is crucial. The efficacy of your program hinges on your ability to faithfully follow the training schedule and its prescribed methods. Failure to comply with the exercise protocol may result in termination of your contract.

As you embark on your training journey, it's important to recognize that it's the certified trainer's responsibility to formulate and oversee your program. Achieving the desired results necessitates your commitment to adherence. If you find yourself unable to adhere to the prescription as outlined, adjustments should be made before initiation. Missing two or more sessions may lead to contract termination with no refunds issued.

Engaging a professional trainer is a significant initial step toward achieving your fitness objectives. It requires both a financial investment and a commitment of time. Prioritizing and scheduling your training sessions are imperative. Following your consultation, it's expected that you'll fulfill any prior obligations and be prepared to commence your training.

Your training progresses through stages, with any two missed sessions prompting an evaluation of your readiness to continue. Missing three sessions will result in contract termination.
​
Remember, you've enlisted the expertise of a Certified Professional Trainer to guide you through your personal physical development journey. Take this commitment seriously and proceed only when you're fully prepared.
Professional Training Agreement

All Training Packages come with expiration dates, which must be respected to ensure optimal results. Unused sessions past the expiration date will only be honored upon prior written request, with no refunds issued.

To facilitate smooth scheduling, you must inform the trainer at least 24 hours in advance of any necessary schedule changes. Failure to do so, resulting in a "no show" or unauthorized change, will incur payment responsibility for the session.

Please arrive 10 minutes early for your appointment, dressed appropriately and prepared for exercise. This courtesy helps prevent appointment overlaps and is greatly appreciated.

In the event of the trainer's tardiness, you will receive a credit for the delayed time. If the trainer fails to show up, you will be compensated with an additional session.

Each session typically lasts between 30 to 60 minutes. Should you request additional time beyond the initial session duration, the extra time will be deducted from future sessions.
